1. Download the Workplace Chat app

Download the Workplace Chat app to your mobile phone so you can stay connected on the go.

IT admins have the option to deploy Workplace Chat application via Windows installer to all managed devices within their organization. The application will be automatically installed the next time a user logs in to their computer. Learn how in the Technical Resources.

Get your team talking

2. Get your team talking

Does your team have a Workplace group? If it doesn’t, go ahead and create one. Every Workplace group with 250 members or less comes with its own chat. Pop into your team chat by clicking on the Chat tab in your group and send a message.

Share files

3. Share files

Sharing files in Workplace Chat is simple. Just click into the files icon and select a video, image, or document you’d like to share. All the files shared in your chat are easy to find again in the Shared tab.

Find what you're looking for with search

4. Find what you’re looking for with search

Chat conversations tend to move fast, and scrolling through days of back-and-forth chat messages isn’t a good use of anyone’s time. Use search to easily go back and find the old messages you’re looking for.

Stay on top of your workload

5. Stay on top of your workload

See something important in your chat group you’d like to return to? Save the message and store it in your Saved folder. You can find all of your saved posts and messages under Saved in your Explore menu. Add saved posts and messages to Collections to help you organize important content.

Ever been really busy with a certain task when someone messages you with a different request? You probably had to table that request until you had a free moment, and you might have even forgotten it completely. That's why Workplace lets you set reminders for chats you need to return to later. On desktop, simply click on the ... next to a specific chat message and select Remind Me.

6. Hold meetings with video chat

Workplace Chat’s video tool allows you to get connected to anyone across your organization, no matter where they are. Every chat conversation with 50 members or less has video and voice calling capabilities. Use Workplace Chat video calls to hold meetings with your whole team. Or, jump on a quick 1:1 call with a colleague and make decisions faster. Just look for the video and voice calling icons at the top right-hand corner of your screen.

You can even connect to Workplace on Portal for a high quality audio and video experience. Portal is a video communications hardware device with Smart Camera and Smart Sound. It allows you to feel more present while collaborating with your coworkers, regardless of distance. Visit the Portal website to learn more.

Remove chat messages

7. Remove chat messages

Mistakes can happen when moving fast in Chat. That’s why Workplace makes it easy to remove a chat message within 10 minutes of sending it. To ensure this feature isn’t misused, the message removal is indicated in the chat, and the message can still be reported.

8. Get the pulse of your team with Surveys

Surveys are a powerful way to learn about the thoughts and concerns of people on your team. Whether you’re looking to learn what worked and what didn’t on a recent project, gain constructive feedback on management, or learn more about your team’s experience at your organization, Surveys can help you gain insights quickly.

The Surveys feature allows System Admins, Content Moderators, and custom admin roles with the ‘Manage Surveys’ permission to send out short, 5 question surveys to any People Set in your organization via Workplace Chat.

NBN uses a chat bot to simplify company jargon.

As a telecommunications company, NBN, the National Broadband Network is an Australian organization run with a complex internal business language, full of acronyms, jargon and industry buzzwords. For many employees, encountering new and unfamiliar acronyms is a daily occurrence.

The internal communications team at NBN had long been looking for a solution that allows employees to easily look up internal acronyms and allows individual team members to contribute to this list on an ongoing basis.

In August 2017, NBN successfully launched Enablo’s acronym bot. It’s now being used by NBN employees daily to identify acronyms and jargon. And new acronyms are being added every week, with the database constantly growing. It is a simple tool that can be accessed from desktop or mobile, making it easier than ever before to look up acronyms and find answers quickly.
